Translation memory in Bureau Works

Overview

To better leverage Bureau Works functions, segments confirmed during the translation are written into the TM in real-time. This allows them to appear as fuzzy matches while you work and to be searchable in the TM.

Best Practices for Translators

To take full advantage of real-time Translation Memory (TM) updates, you should confirm each segment as you work. This ensures that your translations are immediately written into the TM and can appear as fuzzy matches in the Suggestions tab during the rest of your task.

If you decide to confirm all segments at the end of the document, your translations won’t be available in the TM while you’re working. As a result, you won’t see your own fuzzy matches in the Suggestions tab, but only entries from the previous workflow step, which may be outdated.

While this workflow is not recommended, if you do choose to confirm all segments at once, make sure to check the box labeled: “Also save in Translation Memory the segments confirmed through this operation”. Otherwise, your translations will not be saved to the TM at all.

Key Implications for Editing Tasks

For editors, all segments will appear as 101% matches at the top of the Suggestions tab. This does not guarantee that the segment is a perfect match from the TM: it simply means it was confirmed by the translator in the previous step.

To determine whether a segment needs proofreading:

• If the segment is locked: it is a true 101% match and does not require proofreading.
• If the segment is not locked: it must be proofread.

To verify the origin of a segment, see the indicator at the bottom right of the text field, and then click on the TM suggestion. Check the “CAT Info” tab at the bottom of the screen. This will show when the entry was created and last updated.

Example: Understanding Segment Types and What to Proofread

In the following screenshot you will see segments with different statuses:

• Segments 9, 10, and 15 are untouched, context-sensitive translations generated by BWX’s AI.
• Segment 11 is a 100% match that has been unlocked, so it must be proofread. Although it appears to be a 101% match, this is only because it was confirmed by the translator in the previous workflow step.
  It also marks the first instance of a repetition, indicated by the circular arrows below the “Confirm” checkmark.
• Segments 12, 13, and 14 show no icons at the bottom right, meaning the translator made manual edits. These must also be proofread.
  

Example: Fuzzy Matches and Locked Segments

In the first example, segment 13 is selected, and the translation from segment 15 appears in the Suggestions tab as a 69% fuzzy match. To review the source of the match, click the “TM Differences” tab at the bottom. For additional details, such as when the entry was created or updated, use the “CAT Info” tab.

In the next example:

• Segment 116 is selected, but it’s greyed out and locked, indicating a true 101% match that is uneditable. The same applies to segments 119–125 and 128.
• Segment 118 shows no icon in the bottom right, meaning it needs to be proofread.
• Segment 127 is a 100% match and, because it is not locked, it also requires proofreading.

In summary, if a segment is locked, it requires your review.
